Some interview steps let you pick your own time with the hiring team. If a company sets a step up that way, you’ll see a picker right on the step. If not, the hiring team schedules it themselves and sends you the details directly. See Screening steps for where this fits into a process.

Choosing a time

If picking your own time is turned on for this step, you’ll see a note that the hiring team is ready to meet, with a list of times underneath.

Pick a time

Times are grouped by day, for up to 14 days ahead. If someone else takes a slot moments before you, the list quietly refreshes to remove it, so you won’t end up double-booked.

Click Book time

This confirms the slot and schedules the interview right away.
If nothing’s open, the picker says so plainly, and the hiring team follows up instead.

What you get

Once a time is set, whether you picked it or the recruiter did, you get an email with the date and time, how to join, and an agenda if the company added one. You also get a normal Google Calendar invite, separate from that email. The email states the time in UTC. Your calendar invite shows it in your own time zone, so trust the calendar invite if the two ever look like they disagree.

Joining

Most interviews are video calls on Google Meet. Join from the link in your email, your calendar invite or the receipt on the step. If the company set up an in-person interview, your email shows the address instead.

Recording and the notetaker

Video interviews are recorded and transcribed unless the company turned that off for the step. Unlike an AI interview, there’s no box to check first. You’ll see a Recorded tag on your interview details and a participant named Staffer Notetaker in the call. Recordings and transcripts are deleted six months after your application closes.

Rescheduling or cancelling

You can’t reschedule a booked interview yourself. If the time stops working for you, message the recruiter and ask them to release it so a new one can be set. If the hiring team reschedules it, you’re told nothing is needed from you: they’ll send a new invite once they’ve picked a time, and your old calendar invite is cancelled automatically. If they cancel it instead, that isn’t a decision on your application. The time slot is being released. Ask them directly if you’re unsure where things stand.

If nothing works for you

There’s no self-service way to request different times once a step is live. Message the recruiter directly and tell them what would work instead.

Common questions

No, that’s the company’s setting for the step, not yours.
You can’t change it yourself. Message the recruiter and ask them to release the slot so you can pick, or they can set, a new one.
No. A cancelled slot means the time was released, not a decision on your application. Your application’s stage tells you where things actually stand. See Track your applications.
