Set a default for a type of message
Each template can be the default for one type of message: Outreach, Acknowledge application, Follow-up, Rejection, Offer, Hired, Interview, File upload, Questionnaire or Task. When Staffer suggests that action for a candidate on their Process tab, the composer starts from your default instead of Staffer’s built-in wording. Outreach, Rejection, Offer and Hired are the ones most teams set first.Create or edit a template
Click Add template. With nothing saved yet, the page reads “No workspace templates yet” / “Author your own outreach, rejection, offer, or hired copy. Tag one as the workspace default and the composer pre-fills it whenever the recommendation engine surfaces that move.” Give it a name (up to 80 characters) and write the body (up to 20,000 characters, the same limit as a live message), using the same Bold, Italic, Bullet list and Insert link tools as the message composer, plus Draft with AI: describe what you want and it writes a draft for you, using credits. Preview renders the body against sample data so you can see how it reads filled in. Pick a move from Set as default for if you want the composer to pre-fill this template automatically, or leave it as None. If you tag a template as the default for a move that’s meant to carry a link to the role (Outreach, for one) but leave out the application link placeholder, Staffer warns you that messages seeded from it won’t actually link the candidate anywhere. Deleting a template asks you to confirm first, and can’t be undone.Placeholders
The same placeholders as a live message work here too, see Message candidates, but a template stores them as literal tokens, for example{candidateFirstName} or {applicationLink}, since the same template gets reused for a different candidate every time. Staffer fills them in only once someone actually sends a message built from the template.
Who can do what
Creating, editing and deleting a workspace template needs admin or owner access. Anyone who can send a message (members and above) can use one through Insert template in the composer. Members see the same Add template and edit buttons, but saving doesn’t work for them, and no error appears. If a template won’t save, ask an admin.The default rejection template when you close a job
When you close a job and choose to reject the candidates still in the pipeline, the message that goes out to them starts from your workspace’s default Rejection template.
