Applications, Last activity, and Engagement hide when the window is narrow. Name and the Active/Inactive badge always show.
Active means at least one of their applications is on an open job, at a stage other than Rejected, Hired or Withdrawn. Everyone else shows Inactive, including people you saved who aren’t on any job. Hover the badge to see why.
Engagement only counts what the candidate did: replying to a message, updating their consent or completing a step such as a questionnaire. Nothing your team does changes it. Warm means within the last 7 days, Lukewarm within 30, Cold past that, and No activity means never.
Active/Inactive and Engagement answer different questions. A candidate can be Active with no recent activity of their own (they’re sitting In review on an open job), or Inactive but still Warm (they replied days ago on a job that’s since closed).
Search, filter, and sort
Search the pool… matches by name. Filter has two options: Status (Active or Inactive) and Engagement. Display options only sets the sort order. You can’t pick columns here. The sort options are Most recent activity (default), Most engaged first, Most applications, and Name · A → Z.Add a candidate
Add candidate searches people already in Staffer’s candidate database. Type a name and pick a result. People already in your pool don’t show up, and blocked profiles show a Blocked label instead of an add option. Only members, admins and owners see this button.Row actions

Click a row to open the person’s page. It has two tabs, Applications and Activity, and a profile panel you can hide.- Applications lists every job they’ve been part of. Click a row to open them in that job. Someone you saved who isn’t on a job shows “hasn’t applied to any of your jobs”.
- Activity is a timeline of what’s happened with them.
Ask anything
The Ask anything box on this page is a chat with the agent about your talent pool. Ask it to filter the table (“show only warm candidates”) or open a profile. The conversation isn’t saved: reload the page and it’s gone.No match scores here

Yes. Shortlisting, promoting and applying all add someone, as well as Save to talent pool.
