A process step is one of seven kinds: Review, Interview, AI interview, File upload, Questionnaire, Task or Message. This page covers Review, Questionnaire, File upload, Task and Message field by field. AI interviews and Interviews and scheduling get their own pages. Every kind has an Applies to dropdown on its Rules tab: All candidates, Applied only or Sourced only. See Build a hiring process. The Rules tab also shows one of four notices that tell you whether the candidate gets an email: Interview, AI interview, File upload and Questionnaire steps can’t be hidden, because the candidate has something to do. Review, Task and Message default to hidden, with a Visible to candidate toggle on their Rules tab.

Review

Setup AI approval has no Reviewers field, because no person completes it. Rules Applies to, and Visible to candidate (off by default). Hidden, the notice reads Not shown to the candidate. Marked visible, it reads Shows in their portal, no email.

Questionnaire

Setup Short text and Long text questions can’t be marked qualifying. Rules Applies to, plus a qualifying-answer block: an info box showing how many qualifying questions are active, and an Automatically reject toggle (off by default). See Assignees, holds and automatic rejection for what turning it on does. Notice: Emailed when this step opens. After a candidate submits, Staffer evaluates the answers. The step shows a Recommendation badge (Advance, Hold or Reject) with a short write-up. Expanded, the same result reads Recommended next step with Advance, Uncertain or Reject. Staffer also rescores the candidate.

File upload

Setup Rules Applies to. Always visible to the candidate, no toggle. Notice: Emailed when this step opens. Each file can be up to 25 MB. Allowed types: PDF, common image formats, plain text and CSV, Office and OpenDocument documents, and zip. SVG, HTML and executable files aren’t allowed. Staffer checks the file extension. PDFs and images open in Staffer. Other files download.

Message

A Message step doesn’t send anything by itself. It marks the point in the process where a message goes. When it’s the candidate’s current step, their Process tab shows the message ready to send. Click Send and the step is completed. Setup Rules Applies to, and Visible to candidate (off by default, since the candidate gets the message anyway). Notice: Not shown to the candidate by default, or Shows in their portal, no email once visible. This kind shows as Message in the process builder, but as Outreach in the candidate’s own step history.

Task

Setup Rules Applies to, and Visible to candidate (off by default). Notice: Not shown to the candidate by default, or Shows in their portal, no email once visible. A Task step never has a gate: it can only be completed or skipped, never used to auto-reject anyone.

AI interview and Interview

AI interviews

The candidate talks to an AI interviewer by chat, voice or video, on their own time.

Interviews and scheduling

A live call over Google Meet, scheduled by you or picked by the candidate.

Common questions

No. Someone on your team sends it from the candidate’s Process tab, or with Speed action.
No. Those four kinds are always visible, because there’s always something for the candidate to do.
Staffer evaluates the answers, shows a Recommendation badge on the step and rescores the candidate.
Yes. A note on a step’s completion form also appears on the Notes tab and counts as evidence at the next rescore, like any other note.
