Almost every step waits for a person to act. Naming reviewers decides who can act. A process only rejects someone on its own through the three settings below, and all three are off unless you turn them on.

Who gets asked

Every step has a Reviewers picker, except a Review step set to AI approval. Interview steps also have Attendees, the people on the call.
  • Leave it empty and any member, admin or owner in the workspace can complete the step.
  • Name specific people and only they can complete it.
  • A reviewer or viewer can only complete a step they’re named on. It’s the only change they can make in a workspace.
On the candidate’s Process tab, a step’s badge tells you which of these applies:

Leaving Reviewers empty only changes who can act. A Review (Human approval or Human score) or Task step always waits for someone to click Approve, Reject or Mark complete. Interview, AI interview, File upload, Questionnaire and Message steps also wait for something to happen: the candidate submits, the interview takes place or you send the message. The one exception is a Review step whose Method is AI approval. It has no Reviewers field:
  • With the candidate’s current match score at or above the step’s Passing score, it completes and advances on its own.
  • Below the Passing score, it waits, and Approve / Reject buttons appear for a person to decide. If a later rescore lifts the score to the Passing score, it completes. AI approval never rejects anyone.
You can’t save an AI approval step without a Passing score.

The three automatic-rejection gates

All three are off by default. With one turned on, a candidate can be rejected without anyone confirming it. Automatically reject only works on questions you’ve marked Qualifying, with a correct answer or range. Only Multiple choice and Number questions can be qualifying. When any of the three rejects a candidate, their other open steps are skipped, the same as when you reject someone by hand.
These settings reject candidates without anyone checking first. Only turn one on when a wrong answer really rules someone out.

What the candidate is told

  • Rejection disqualifies sends nothing. Like any other move to Rejected, the candidate hears nothing until you send a rejection note.
  • Automatically reject on a questionnaire sends the rejection note you wrote when you turned it on. If Staffer has no email address for the candidate, it doesn’t reject them. The next action suggests rejecting them instead, so you can do it by hand.

What’s not automatic

  • A match score never rejects anyone. Apart from AI approval, no setting advances a candidate because of their score.
  • The process only emails a candidate for the steps listed on Step types and for the questionnaire rejection note. You send everything else, such as intros, follow-ups and offers.
