Sharing sends a no-login, read-only link to one or more candidates on a job. Open the job’s … menu, then click Share…. The dialog describes exactly what it does: “Make a public, read-only view of one or more candidates from [job name]. Activity threads and inbound messages are never included.” Two tabs sit at the top: Create share and Active shares.

Create a share

Anonymize names only hides the candidate’s name and photo, replacing them with a label like “Candidate A.” Current title, current employer and location still show, in both the candidate table and their profile pane. A recipient can often still work out who someone is from those alone.
Click Create share. With no candidates selected, it stops you with a toast: “No candidates to share.” Otherwise Staffer shows you the link, split into two tabs:
  • Link: the URL itself, with a Copy button. Copying is the only step most recipients need: anyone with the link can open it for as long as it’s valid.
  • Email: send it directly. Add up to 20 recipient addresses and an optional Personal note, then click Send email. A toast confirms how many recipients it reached.
The email asks each recipient not to forward the link, but it’s the same link for everyone: every recipient of one email, and anyone you give the copied link to, gets the same URL. Revoking it stops it working for all of them at once.

Active shares

Every share you’ve created and haven’t revoked is listed here, with its title (or “Untitled share”), how many candidates it covers, and when it expires.
  • Extend adds 30 days to the expiry, counted from today, not from whenever it was due to expire.
  • Copy puts the link back on your clipboard.
  • Revoke asks you to confirm: “Revoke this share? The link will stop working immediately.” It can’t be undone. The share and any notes left on it stay on record. Only the link itself stops working.

Who can create or revoke a share

Creating a share and emailing it out needs the member, admin or owner role. Viewers and reviewers can’t. Revoking is open to everyone, on purpose, including viewers and reviewers: anyone who notices a link is a problem should be able to kill it, even if they couldn’t have created one themselves.

What a recipient sees

No account, and no Staffer login. The link itself is the only credential. They land on a page with a candidate table down the middle, a chat assistant on the left that can answer questions about the shared candidates and nothing else in your workspace, and a detail pane on the right with up to three tabs: Profile, Match and Notes, each one only present if you included it. What they never see, under any combination of settings: your messages with the candidate, any reply the candidate has sent you, the activity timeline, or any contact detail like an email or phone number. None of that is ever loaded onto this page, regardless of your settings, so there’s nothing to accidentally expose.

What crosses into the Match tab

If you include the match score, a recipient sees the same breakdown you do, current and potential, per criterion, with one difference: the “Sources” citations only ever come from the candidate’s profile. A citation drawn from a message, a process step or a note never shows. The written reasons are narrower, but not completely: a reason built from a team note is left out entirely, but a reason built from something the candidate said in a reply or a questionnaire answer can still appear in the text, even with Your notes turned off. Scores and the criteria list themselves always show, regardless of any setting.

Notes a recipient leaves

With Allow recipients to add notes on, anyone with the link can leave a note without signing in. Staffer recognizes them by a cookie in their browser instead of an account, which is also how it lets them delete their own notes afterward. Clear cookies or switch browsers and they lose that ability. The note form tells them plainly: “Your note goes to the hiring team. It does not change the candidate’s match score.” Every note they leave is mirrored back into your own workspace too. It shows up on the candidate’s Notes tab and Activity tab, tagged Shared link, under whatever name they typed or Anonymous reviewer if they left it blank. If Your notes is off but recipients can still add their own, each recipient’s browser only shows the notes it posted itself, not anyone else’s, since there’s no login to tell reviewers apart. A revoked or expired link doesn’t fail quietly. The recipient sees a card that says so, without naming the job or any candidate:
  • Revoked: “Link revoked”, “The recruiter has revoked this share. Reach out to them for a new link.”
  • Expired: “This link has expired”, “Share links are set to expire when they are created. Ask the recruiter to renew it — they can extend this same link from their share list.”

Common questions

No. Promote them to a candidate first. The candidate picker in Create share leaves shortlisted people out entirely.
No. It’s disclosed to them directly on the note form, and it’s mirrored into your Notes tab, but it never feeds scoring.
