For a rejected candidate, the Process tab is currently empty, even if they went through steps. Their history is still on the Activity tab. Shortlisted people have no Process tab until you promote them.
Next step, previous steps, upcoming steps
- Next step shows the candidate’s current step, ready to act on: Approve / Reject for a review, the composer for a message, and so on. The next action card, marked AI recommendation, sits above it. When every step is done, it reads “No steps left in the pipeline.”
- Previous steps lists completed and skipped steps, oldest first. It starts with an Application card that shows their score when they joined the job. Each row shows who completed the step and when.
- Upcoming steps lists the steps after the current one. You can’t act on them until they’re current.
Completing a review
The form depends on the step’s Method:- Human approval: an optional instructions box, a note field if Allow notes is on, then Approve / Reject buttons.
- Human score: the same instructions and note fields, plus a plain number field labeled Score (1 to 100), then a single Complete review button, disabled until you enter a valid score.
- AI approval: a box explains what happens: the step completes at or above the passing score and waits below it. Approve / Reject buttons appear only while it’s waiting.
Completing a task
When a Task step is the candidate’s next step, the Next step card shows a Complete button, plus a notes field if Allow notes is on. You can also use Mark complete in the step’s Step actions menu.Reading questionnaire answers and files
A completed Questionnaire step shows how many questions were answered. Expand it and click Review to open the full set of questions and answers under a Responses heading. Any step that changed the candidate’s match score shows the change next to it, green for up and red for down. Expand the step for a summary of what changed and a per-criterion breakdown. A criterion that got no new evidence from the step shows Held to prior verdict and keeps its old score. You can’t reassign a step from here. Change a step’s reviewers on the job’s Process tab. For a one-off step you added for this candidate, use Edit step.
Add a one-off step for this candidate
In the Step actions menu on any pending step, choose Add step before or Add step after, then pick a kind. The step is added for this candidate only. The job’s process doesn’t change. You can also ask the agent, for example “give Alice a portfolio review”. In Ask permission mode it shows a confirmation card first. Moving a candidate to Offer, Hired, Rejected or Withdrawn marks every step they haven’t finished as Skipped. This includes Offer, so finish any steps you still need before you move someone there. If you later move the candidate back, for example after a declined offer, those steps stay skipped. Turn each one back on with Un-skip step in its Step actions menu.Common questions

Skip marks a step as not happening and moves on. Reset step deletes what was recorded, such as a transcript, an upload or answers, so the step can be done again. You can’t undo a reset.
